A reception in the capital is a throughput problem
Richmond events are shaped by other people’s schedules. A session ends, a committee finishes, an association closes its program, and then two hundred people arrive at once, stay ninety minutes and leave. Staffing that by guest count gets you a queue.
So we size the bar to the arrival rather than the headcount, and we ask about the run-of-show before we ask about anything else. It is also why we quote travel as a visible line: you should be able to see exactly what bringing a Hampton Roads crew up the interstate costs, and decide.

Do you actually travel to Richmond?
Yes, regularly. It is outside our core Hampton Roads service area, which is why travel appears as its own line on your estimate rather than hidden in a rate. Roughly two hours each way from Virginia Beach, and we plan the day around that rather than pretending it is not there.
What does travel to Richmond cost?
It is quoted, not rate-carded, because it depends on the crew size, the load and the hours. The estimate builder asks for your city and ZIP and shows travel as a separate line, so you see the number before you commit.
For a large or multi-day build it is often cheaper than you would guess, because the travel is spread across the whole job rather than charged per person.
Can you invoice a state agency or an association?
Yes. We provide a W-9, work to a PO number, and issue an itemized invoice a finance office can process without three rounds of corrections. Tell us the requirements up front and the paperwork arrives correct the first time.
Our building has its own rules about outside vendors. Is that a problem?
Usually not, but it is the first thing to check rather than the last. Some buildings require a Certificate of Insurance with specific additional-insured wording, some restrict load-in windows, some hold exclusive food and beverage rights.
Where a venue runs its own food and beverage, we can still work it as staffing support. Our bartenders and servers under their program.
Can you do a fully non-alcoholic event?
Often our favorite kind, and in Richmond it comes up more than most places. Daytime advocacy events, agency functions and volunteer receptions. Shaken lemonades, infused waters, cold-pressed juices and locally roasted coffee service, run as a real bar by the same uniformed team.
How many bartenders will we need?
One per 50 guests, and a bar-back per 150 on a busy bar or a heavier menu. Arrival matters more than headcount though: a reception where 200 people walk in the moment a session ends needs more staff than 200 across an evening.
